Using WORD For Document Management

As an amateur author, I build new articles and modify existing articles almost every day, so there are more and more documents in hard drives.

How to manage these documents more conveniently is a problem.

I once imagined that if you start writing with a computer, you will first enter a master scheduling interface, which displays the state of all files (path names, word numbers, illustrations, etc.), and just click on a path to open the corresponding file immediately.

When you modify the article, you can easily return to the scheduling interface if necessary.

How convenient it would be!

Obviously, this is difficult to implement in Windows explorer.

Some other methods are not ideal.

It is not until the concept of network hyperlink is introduced into document management that this problem is solved.

The first thing to do is to create a master scheduling interface document, named allfiles.doc.

After each document is established, its path name is registered in allfiles.doc, and the status information is attached after the path name.

Then, using the hyperlink function of Word 97, the registration items in the interface document are associated with the document itself.

Suppose that a document project has been registered in allfiles.doc "D: my article 99100 and I used Java to make the home page.Doc[990818 to send the computer". I want to associate it with the document "D: my article 99100 and I use Java as home page.Doc".

It is necessary to select "D: my article 99100 in my registration project with me to make the home page.Doc with Java", then execute the "insert hyperlink" instruction, and in the dialog box, specify the linked target document through "Browse" button, "D: my article 99100 together with me make Java home.Doc".

To quickly find the target document, click the command and settings button on the upper right corner of the dialog list area to execute the sort order. According to the specific circumstances, the sorting condition can be set to find the target document conveniently.

Note that there is a "hyperlink use relative path" check item in the dialog box. The default setting is enabled. In order to copy the document link to another management file, the link relationship is still retained, and it needs to be banned.

In this way, the registration item in allfiles.doc becomes a hyperlink. Click it to open the corresponding document. The Word 97 work window also automatically appears the Web toolbar. Click the left arrow on the Web toolbar to return to the allfiles.doc document.

After that, every new document is registered in allfiles.doc with this method, and links can be established to facilitate document management.

If there are many documents to register, the workload will be considerable one by one.

In order to make the registration process simple and convenient, two small software can be used.

One is PACT ShellX (http://12Ghosts.com/download/pact_shellx.exe).

After installing it, in the right-click menu of Windows, a "Copy Path to Clipboard" (copy path to clipboard) instruction is added to copy the complete path of the selected file to the clipboard.

It's easier to register document items in allfiles.doc.

However, it does not support the copy of paths after selecting multiple files at the same time. Therefore, it is still cumbersome to register one by one with a large number of documents.

Another shared software Targets can make up for this shortcoming. After installing it, after selecting multiple files in the explorer and my computer, the Targets/filename (s) to Clipboard instruction in the right-click menu can be executed to copy all the selected document paths to the clipboard.

It is also easy to register multiple documents at the same time.

Friends can also edit allfiles.doc documents quickly in the startup group.

In this way, as long as the system starts, it will automatically call Word 97 to open the allfiles.doc document, and all the relevant documents will be displayed.

Therefore, the idea of managing documents has been realized.
